In many hospitality businesses the rota is built on gut feel. The manager looks at last week, moves a few names around and sends it out. On quiet days too many people are scheduled, on busy days too few. A rota that starts with demand prevents both. That takes a fixed order of steps, and more and more often some automation.

Hospitality scheduling starts with expected demand

First gather what you know about the coming weeks. For a hotel that is the occupancy from your PMS. For a restaurant it is the bookings. For both, events, public holidays and the weather count too. Also look at your own history. How many covers did you do in the same week last year, and how many rooms needed cleaning on a Sunday after a full Saturday?

From demand to shifts and names

Decide per department how much work one employee can handle per shift, and divide the expected demand by that standard. Then you know how many people you need per part of the day.

  • Housekeeping: the number of rooms one employee cleans per shift.

  • Service: the number of covers or tables per employee.

  • Kitchen: the number of covers per cook, per shift.

  • Front office: the number of check-ins and check-outs per hour.

Only then do you put names on the shifts. Take availability, contract hours and skills into account. Schedule your permanent staff first and fill the peaks with flexible workers. Use fixed patterns where you can, because an employee with fixed days off swaps shifts less often.

The collective agreement and your staff rota

The Dutch hospitality collective agreement (cao Horeca) sets rules for the rota. Under the 2025-2026 agreement you publish the rota at least three weeks in advance. After that you may only change it if the business needs it, and in consultation with the employee. Plan an average five-day working week, with at least two consecutive rest days every two weeks. Check the current agreement before you start a new scheduling year.

Labour costs in hospitality: your rota and your wage bill

Your rota is the biggest lever on your labour costs. So after every rota, work out what it costs and set the wage bill against the expected revenue for that week. If that ratio is structurally too high, you are scheduling too generously on quiet days. If it is too low on busy days, you risk long waiting times and exhausted staff. Doing this by hand every week easily costs hours a month.

Automated scheduling with AI

Automated scheduling means software does the maths. Our AI Workforce Planner pulls demand from your PMS, POS and events and turns it into a draft rota, with the labour costs included. You then adjust the rota and publish it in the scheduling tool you already use. The rota never goes to your team automatically. AI scheduling saves the most work this way, while the manager keeps the final say.

Hospitality automation: more than the rota

The rota is often the first step. Other recurring tasks follow: getting revenue figures from the POS into your accounting, passing bookings on to housekeeping or syncing guest data between systems. Automation in hospitality works best when your systems are properly connected. Read how we automate business processes with AI, and what we do for hotels and hospitality.
